Departmental Email Signatures

Having a branded email signature helps maintain brand consistency and institutional identification.

Installation Instructions

*NOTE if your title contains an ampersand, be sure not to type the ampersand in manually. Copy/paste one from the layouts at the links.

Outlook 2016 and 2013 (PC)

  1. Open link in Chrome or Firefox (make sure to refresh)
  2. Click inside the browser window and hit Ctrl-A (select all), then Ctrl-C (copy)
  3. In Outlook, go to File > Options > Mail and click on “Signatures.“ Click “New” to create a new signature. Give the new signature a name and click OK.
  4. Click in the edit window and hit Ctrl-Z (Paste)
  5. Update with your name and contact info and save; set as your default signature

Outlook 2011 (Mac)

  1. Open link in Chrome or Firefox (make sure to refresh)
  2. Click inside the browser window and hit Command-A (select all), then Command-C (copy)

  4. Delete the placeholder link text, then add your email in the same location, select hyperlink text, remove underline, and change the text color to RGB: 250 red, 70 green, 22 blue

Outlook Web App (mail.ufl.edu)

  1. Open link in Chrome or Firefox (make sure to refresh)

  2. Click inside the browser window and hit Command-A (select all), then Command-C (copy)
  3. Log in to http://www.mail.ufl.edu/ in a separate browser tab
  4. Choose Settings (gearwheel graphic at top right) > Options
  5. In Options choose Settings > Mail
  6. Click in the edit window under Email Signature and paste what you copied from the browser
  7. Update with your name, title and contact info
  8. Save
