Purchasing, Procurement and Equipment Decals
- Most Items <$2,000 may be purchased on your Purchasing Card (PCard). These are tax exempt in the State of Florida. Keep your tax exempt card with your PCard or download an electronic version
- POs are generally required for items that cost > $1K. Items >= $5K require a quote from the company that you want to use and at least one, preferably two competing quotes. (If the lowest priced vendor is not the one selected, a reason for the choice will need to be provided). . Vendors need to be in the ‘system’ so make sure they have filled out their application at the start of the procurement process to eliminate delays
- Larger purchases (> $75K) usually go to open bid. Learn more at UF Procurement Services Website
- Decal large equipment–and keep a log of the decal numbers. Future purchases that ‘add on’ the equipment can be charged as equipment rather than M&S. Asset Management should visit within a few months to attach the decal and log the location
- Ask your departmental IT representative to assist with purchasing computers, etc.

Repairs, Remodeling and Work Orders
Restricted Data >> Research involving restricted data, i.e. data that is governed by laws, regulation, or contractual agreements, requires special precautions. UF operates a pre-approved environment that meets CUI requirements called ResVault. It is approved for many types of restricted data, e.g., Controlled Unclassified Information (CUI), patient health information (PHI), student data (FERPA), intellectual property (IP), export control (ITAR/EAR). Visitors on Campus
- First things first, let departmental HR know. Visitors must be screened prior to coming on campus
- Suggest hotel accommodations and help them find parking. The Reitz Union has pay-as-you-go parking. Temporary passes for green/orange parking are also available. Ask the assistant to your department chair to reach out to transportation and parking no later than 7 days in advance
- Remind them to activate their EduRoam account to seamlessly use wireless on campus. If not, they can log into ufvisitor and get a pin by text message.
- If they will give a talk, send the details to Sara Dwyer to update the weekly Upcoming Seminars email to faculty.
